Refund policy

Last updated 13 August 2026. This policy applies when a fee for a Devagentbase programme has actually been paid off-site. This website never takes payment.

Eligibility

Refunds are available to the person or company named on the off-site invoice. Seats transferred to a colleague in the same squad before the first session are not refunds; they are substitutions and do not restart the clock.

Timeframe

Requests must reach info@devagentbase.digital within fourteen calendar days after the last session you were entitled to attend, or earlier if you cancel before the cycle starts. Late requests are considered only where Thai consumer law requires it.

Full refund

If you cancel more than fourteen days before the first Thursday of the cycle, we return 100% of the fee received. If we cancel a cycle (mentor illness, room closure, or too few seats), you receive a full refund or a transfer to a later cycle, your choice.

Partial refund

If you cancel fourteen days or fewer before the first session, we retain 25% for materials and reserved room time and return the rest. After the first session has begun, we return a pro-rata amount for unused weeks minus that 25% administration share, provided you have not collected a certificate. Once a certificate or limitation-note template set has been issued, remaining weeks are non-refundable.

Non-refundable items

Printed atlas kits already shipped, guest-critic travel booked at your written request, and third-party venue deposits we cannot recover. Vendor licences are never sold by us and are outside this policy.

Refund process

Write “Refund request” in the subject line, include the invoice number, programme name, and reason. We confirm receipt within two Bangkok business days and decide within ten. You may also use the contact form and put refund in the first line.

Processing time and method

Approved refunds are sent by the same method that paid us (Thai bank transfer or the original off-site channel) within fifteen Bangkok business days after approval. We do not refund in cash at the Khlong San room unless both sides agree in writing.

Cancellation by you or by us

You may cancel by email. We may cancel or postpone a cycle for safety or under-enrolment; in that case the full-refund or transfer choice above applies. Missing sessions without notice is not an automatic cancellation; unused weeks follow the partial rules only after you write us.

Exceptions

Serious illness or family emergency documented in reasonable form: we waive the 25% retainment and offer a transfer or a fuller refund at our discretion, not less than what Thai law requires. Field Atelier residencies booked as a private block follow the same clocks unless the signed agreement states otherwise. Nothing in this policy limits mandatory rights under the law of Thailand.
